At every step, you know where it is.
Live data sits on our own machines. Every night an encrypted backup is made to two independent locations, and only we hold the key.
There is no password to remember: when you sign in, you receive a one-time code at your company email address. The cookie that keeps you signed in travels only over an encrypted connection, and the page's scripts cannot read it.
Outreach goes out from a mailbox set up for this purpose on your company's domain. We store the mailbox credentials with AES-256 encryption, and we do not touch your personal correspondence.
We store your data ourselves, in the European Union. For AI processing, only the part needed for the task is passed on, through the Irish entities of Anthropic and OpenAI. Their terms rule out using it for training or for their own purposes, and by default they keep it for thirty days at most, to detect abuse. If data leaves the Union, it is protected by the European Commission's standard contractual clauses.
Every letter is checked before it goes out.
Outreach is sent from your company's own domain, so several layers protect its reputation.
Domain checks
We regularly check the domain's technical settings (SPF, DKIM), which let the domain prove that a letter really comes from it, and we also check whether spam filters have flagged it. Our expert colleagues and partners monitor it too.
Warm-up and sending pace
A new sender address starts gradually, with a warm-up, and letters go out at a human pace. This way mail systems come to know it as a trustworthy sender.
A check on every letter
Every letter goes through an automatic check. A badly composed letter cannot go out, and neither can links, emoji or formatting. The system also flags wording that can trigger spam filters.
Individual, yet predictable
Every letter is built from sentences you have approved, so you know exactly what can go out in your name. Even so, every recipient gets their own version.
Up-to-date rules
We keep track of what mail systems pay attention to, and adjust our checks accordingly.
Guessing gets you nowhere here.
A sign-in code becomes invalid after five failed attempts, and we accept only a limited number of failed attempts per address each day.

Even two disks failing at the same time causes no data loss, and if an entire machine were lost, we would restore from the latest nightly backup. Your letters are also kept in your company's own mailbox.

We store our data on a disk array that withstands two disks failing at the same time without data loss, and stays available during the replacement.

Every night an encrypted backup is made to a European data centre and to an independent site of our own. Only we hold the key.
Your letters stay in your own mailbox
Sent and received letters are in your company's own mailbox, where they remain independently of Trendizz.
You are the controller of your campaign data.
We process it on your behalf, as a processor. Trendizz is the controller of the company database built from public websites. The data processing agreement is part of the contract, and you can read it in full in the demo environment before you accept the contract.

In the event of an incident, we notify you without undue delay, and within this time at the latest.

This is how much notice we give before engaging a new sub-processor. You can object on data protection grounds.

By prior arrangement, you can audit how we handle your data.

Within this time we hand over your notes, tasks and own contacts in a machine-readable format, if you ask within thirty days of the end of the contract.

This is how long we keep your data after the contract ends. On request, we delete it within thirty days.
We do not sell your data, and we do not pass it on to anyone for their own purposes.
One reply, and it stops.
Your good name also depends on how we treat the people you contact. The legal basis for outreach is legitimate interest, supported by a written balancing test. Anyone who writes back that they want no more letters will not hear from your company again. Anyone who asks for their data to be erased has it erased from our entire database.
