Groups and access
For leaders A separate campaign per group, even per language area. A member sees their own group, a leader sees them all.
This is how it looks in your account, seen from three seats. We cover the personal names with a bar, and the group names are examples.
How your team comes together
Three moves on the Team management page, and your company works the way your organisation is built.
You create a group
A name and a one-sentence description are enough, for example 'German market' and 'German, Austrian and Swiss outreach'. A group can be a single person, when a colleague runs their own territory, and it can be the team for a whole country.
From that moment the group is a closed workspace, and only the people you put in it can see inside.
You add the colleagues and name the leader
On the colleague's card, on the Groups tab, one chip makes them a member and a crown makes them the leader. The leader sees the work of every member of the group, a member sees their own and that of colleagues of the same rank. A colleague can work in several groups at once.
You decide who sees what, and you do not have to draw up a permissions table for it.
You assign the campaign and the sender to the group
The campaign and the sender email address are assigned to the group with one click on the group's badge, and from then on only that group sees the letters, the replies and the tasks. When someone leaves the group, their campaigns stay with the group and no work is lost.
Our expert colleague switches on the closed setup during the first configuration, and you can change it at any time on the Team management page.
One company, two teams, one record
When the German team puts a company into a campaign, the same company becomes taken in the Polish team's search, with no name shown. That way your two teams never write to the same company, and you see both sides.
The reservation is anonymous: the Polish team only sees that the company is already running somewhere else within the company, not who has it or in which campaign.
Why this is good for you
Your markets never overlap
In an international company, or one that works across several territories, each team runs its own market, in its own language, with its own campaigns, and no one accidentally approaches a company that another team is already in talks with. The same holds when an outside partner or agency works in the same account: they only see the part entrusted to them.
A colleague sees only their own work
In the morning the salesperson gets their own tasks, their own campaign and their own replies, so there is no noise, no question about who an approach belongs to, and no temptation to step onto someone else's territory. Their attention stays where the results are made.
You see everything, yet each conversation stays private
As an administrator you see the whole company on a single screen, the group leader sees their group, a member sees their own. One thing stays private to each person: the conversation with Apex, which only its owner reads.
When it is worth it, and when it is not
Groups bring order when your company moves in several directions. A small team focused on a single market does not need them, and they can be switched on at any time later.
Worth it when
- You work in several countries or language areas, and a different team runs each market.
- An outside partner, agency or freelance salesperson works in the same account and may only see the part entrusted to them.
- You have separate product lines or business units that approach different companies.
- You have a team that must not see the key accounts or the head office's negotiations.
Not needed when
- A team of three to five people works together on the same market, on the same campaigns.
- Everyone can see everything, and that is exactly what makes working together smooth.
- In that case your company stays in a single group, and if it later grows or enters a new market, you switch the groups on without losing anything, because every campaign and every record stays in place.
