Finding your way and first steps

Where to find what you're looking for, what each screen shows, and how Apex tells you when something has changed.

A new colleague finds their way around: where they notice if something's waiting for them, what sample data means, and what Apex says when they ask what's changed.

Who can ask what?

Apex only does what the person asking is authorised to do. Which companies you see is decided by your group.

Click your own role, and only the example prompts you can ask Apex for stay on the page. The filter only rearranges this page; it changes nothing in your account or your permissions.

Several requests at once

One sentence can fit several navigation questions, Apex answers each in turn.

What happens
Apex answers both questions in one message: it says where the bell is and what it shows, then that the language can be changed in the Localisation section of the Settings page.

The bell is in the top row of the composer, the language is under the Settings item in the user menu.

What happens
Apex says how many days are left, and that the My subscription button, on the Sample data bar running along the top of the screen, opens the order.

The bar runs along the top of the screen for as long as the demo lasts.

What happens
Apex first says what it can help with, then who the approver is, meaning who authorises outgoing letters and the signature: their name shows on the Team management page, in the member's row, next to the 'Approver' badge.
Where it shows
Both answers arrive in the chat. Team management is in the left-hand rail, below the places, and the example questions are gathered in the Knowledge base, which opens with the ✦ button next to the bell.

Apex says the Invite button is at the top of the Team management page, and the approver can be set on the member's card, in the Role view.

How you talk to Apex

The conversation, the composer, and what Apex tells you about itself along the way.

Where do I send a message if I want to ask something?
What happens
The composer is at the bottom of the conversation, in two rows: the bell and the ✦ button above, the text field, the microphone and the send button below.
Where it shows
On desktop, at the bottom of the middle column; on a phone, fixed to the bottom of the screen.

What happens
The opened content appears on the right-hand workspace, next to the conversation. Several tabs can be open on it at once, and the Memory tab is always there.

What happens
While Apex is answering, a Stop button appears in place of the send button. You can use it to stop the answer that's in progress.

In the bottom row of the composer, in place of the send button, while Apex is working.

A search that has already started keeps running in a separate box at the bottom of the conversation, with its own Stop button. The composer's Stop button doesn't stop it.

What happens
Apex doesn't switch tabs: it describes step by step where the screen you asked for is, but it doesn't make the switch itself.
Where it shows
As described: user menu, then Settings.

This is true for every similar request: Apex describes the screen, but doesn't click for you.

What happens
Apex briefly tells you in the conversation what it can help with. You'll find example questions sorted by topic in the Knowledge base, where the 'Try it' button types the chosen question into the composer, and sending it is up to you.

The answer arrives in the chat. The Knowledge base opens with the ✦ button next to the bell, in the top row of the composer.

Apex gives you ideas in the conversation for what's worth asking it, tailored to your company and your work.

Writing the answer can take a few seconds.

Notifications

When Apex signals that something's waiting, and what you'll find under the bell.

Is there something I don't know about yet?
What happens
A simple dot on the bell shows if there's an unread item. The card that opens when you click it shows the most recent items by category: task, letter, item awaiting approval, billing event, and others.
Where it shows
The bell is in the top row of the composer.

The card only shows what's still waiting for a response. Items already viewed disappear from it.

What happens
Apex deletes the listed items right in the conversation, and this is final.
Where it shows
You can also do the same with the Clear all button on the card under the bell.

What happens
The approval emails switch is in the Notifications group of the Settings page.
Where it shows
User menu, Settings, Notifications.

Apex can't toggle the switch itself, it only shows you where it is.

The push notification switch is in the same place, depending on what the browser supports.
Where it shows
User menu, Settings, Notifications.

If the browser can't send push notifications, or it's disabled, an explanation appears there instead of the switch.

My account

Where to find your profile picture, personal details and the newsletter.

What happens
On the card at the top of the Account settings page, the Change picture button lets you upload a new profile picture, with a cropping tool to help fit it to size.

What happens
You can change the phone number in the Phone number field, in the Personal details section of the Account settings page, and the Save details button shows whether it saved.

Log out is at the very bottom of the user menu.

The last item of the menu that opens when you click your profile picture, in the bottom row of the left-hand rail.

The Newsletter switch is on the Account settings page.

Apex doesn't toggle the switch.

Language and devices

The interface language, your signed-in devices, and installing the app.

What happens
The interface language can be set in the Language picker, in the Localisation group of the Settings page, and the change saves immediately.

What happens
In the Devices group, each row shows the browser, the operating system, the sign-in time, and a Sign out button on every row except your own device.

On the Settings page, if Apex isn't installed yet, an Install row appears: on Android it installs with one button, on iPhone a short guide shows the steps.

The guide differs by device, because installing works differently on Android and iPhone.

The Version section shows the app and server versions, which are needed if someone asks for support.

My team

Where to find your colleagues, and what you can see about them.

What happens
On the Team management page, colleagues appear by group, row by row: name, position and permission level.

On the Team management page, an 'Approver' badge shows in the approver's row.

The Invite button is at the top of the Team management page, where the system asks for the surname, first name and email address.

The company lead and the company's administrators see the Invite button. The system sends the invitation, not Apex.

During the demo

What sample data means, and how the demo becomes your own account.

What happens
For as long as the demo lasts, the Sample data bar runs along the top of the screen. Everything visible in the interface is sample data, so you can try out how it would be to work with Apex.

What happens

You can't send a letter, exclude a company or change a setting in the demo. Apex tells you what it can show you instead.

News

When Apex tells you what's changed in the system.

What happens
Apex briefly runs through the news you haven't heard about yet, one sentence each on what it helps with. Then it asks which one you'd like to hear more about.
Where it shows
Only in the conversation, it has no page of its own.

Apex explains in its own words what the update is for, when it helps, and how to ask for it if you haven't tried it yet.

It runs through the news from the date you gave, oldest to newest, in the same short form.

It shows at most four items at once, and continues with the rest on request.

Good to know

The decision is always yours

Wherever approval is needed, Apex shows the card, and only carries it out after you click.

It only works from what it has

Apex tells you what's on the record and in the correspondence. If there's no data on something, it says so.

Another team's company

If another team within your company is working with a company, Apex flags it as taken, and doesn't say who's handling it.

In your own words

You can write to Apex in your own words. The example prompts work verbatim too, but it understands your own phrasing just as well.
