Apex knowledge base

Excluded companies

Which companies none of your campaigns should contact again. Exclusion is company-wide: it applies to every campaign at once.

Exclusion, overview and restoring, all in one conversation.

Who can ask what?

Apex only does what the person asking is authorised to do. Which companies you see is decided by your group.

Click your own role, and only the example prompts you can ask Apex for stay on the page. The filter only rearranges this page; it changes nothing in your account or your permissions.

Several requests at once

A single sentence can hold several steps; Apex works through them in order and reports once.

What happens
Apex checks both domains first, then asks for approval on a card to exclude whichever of them isn't already excluded.

What happens
Apex checks whether they're already excluded, and if not, excludes them on an approval card with the reason "No more emails requested".

What happens
Apex processes the uploaded file, tells you how many new domains it would exclude, how many are already excluded and how many are invalid, then starts the exclusion in the background on an approval card.
Where it shows
In the chat, on the file upload and the approval card.

What happens
Apex checks both domains, then excludes them on a separate approval card for each reason: the company that shut down with "Ceased", and the one that complained with "Not wanted".

Checking before you exclude

Whether a domain is already excluded, and if so, why.

Have we already excluded walsh.co.uk and hughesltd.co.uk too?
What happens
Apex tells you, domain by domain, whether it's excluded, when and with what reason, before anything changes.
Where it shows
In the chat.

What happens
Apex checks whether the domain is already excluded with the reason "No more emails requested", and answers in plain words.
Where it shows
In the chat.

This is the most important check before reopening an old relationship.

Exclusion by reason

One or more domains drop out of every campaign, after approval.

walsh.co.uk is already our customer, exclude them.
What happens
Apex asks for confirmation on an approval card; once approved, the domain drops out of every one of the company's campaigns at once.
Where it shows
In the chat, after approval.

If a company's record is already open, you can ask Apex for the same thing there; both routes apply to every one of the company's campaigns.

hughesltd.co.uk has shut down, exclude them.
What happens
Apex excludes the domain with the reason you give, after approval; of the six possible reasons, it uses the one you name, and never guesses.
Where it shows
In the chat, after approval.

An excluded company no longer receives campaign letters. You can still write them an individual letter through the system.

What happens
Apex excludes the domain with the reason "No more emails requested"; if it's ever restored later, this reason gets a separate warning on the approval card.
Where it shows
In the chat, after approval.

Only choose this reason if the company genuinely asked for it; otherwise "Not wanted" is the right one.

What happens
Apex tells you that one exclusion holds at most 200 domains in a single step, and recommends the file upload for a bigger batch.
Where it shows
In the chat.

Above 200 domains, excluding from a file is the faster route.

Excluding from a file

Many domains at once, from a CSV or TXT file.

I'll upload the domains to block as a txt, exclude all of them.
What happens
Apex opens a file upload card for a CSV or TXT file, one domain per line, up to 10,000 domains and 2 MB. After the upload it tells you how many new domains it would exclude, how many are already excluded and how many are invalid, then starts the exclusion in the background on an approval card, with a progress indicator.
Where it shows
In the chat, on the file upload and the approval card; the exclusion runs in the background.

What happens
Apex tells you the limit: at most 10,000 domains and 2 MB per file. It won't accept a file above that, and asks you to split it into smaller parts.
Where it shows
In the chat.

Overview of the excluded

How many domains are excluded and for what reason; this belongs to the company lead.

What happens
Apex tells you the full overview of the excluded belongs to the company lead, and offers to exclude domains for you instead.
Where it shows
In the chat.
Who can askSalespersonGroup leader
Open the excluded domains.
What happens
Apex opens the excluded domains in the workspace on the right, and gives you the count for each reason.
Where it shows
In the workspace on the right, on the Excluded domains tab.
Who can askCompany leadAccount manager
Show me the excluded ones with "ltd" in their domain.
What happens
Apex filters by reason, or searches the excluded domains by part of the domain, and opens the tab with the matching filter.
Where it shows
In the workspace on the right, on the Excluded domains tab.

Restoring

A domain can receive campaign letters again; this too belongs to the company lead.

walsh.co.uk can receive letters again, restore them.
What happens
Apex checks whether they're really excluded, then restores them on an approval card; after that the company can receive campaign letters again from any campaign.
Where it shows
In the chat, after approval.
Who can askCompany leadAccount managerWith approval
What happens
The approval card gives a separate warning that the company had earlier asked us not to write to them, and that restoring reopens contact.
Where it shows
In the chat, after approval.

Restoring is still possible in this case, but it's worth making sure the company genuinely wants this before you approve it.

Who can askCompany leadAccount managerWith approval
What happens
Apex only restores the ones that are actually excluded; for the rest it tells you they weren't excluded. One call holds at most 200 domains.
Where it shows
In the chat, after approval.

Above 200 domains, split the request into several steps.

Good to know

The decision is always yours

Wherever approval is needed, Apex shows the card, and only carries it out after you click.

It only works from what it has

Apex tells you what's on the record and in the correspondence. If there's no data on something, it says so.

Another team's company

If another team within your company is working with a company, Apex flags it as taken, and doesn't say who's handling it.

In your own words

You can write to Apex in your own words. The example prompts work verbatim too, but it understands your own phrasing just as well.

A closed system.

Access by invitation. Request it from your company email address, and our expert colleague will be in touch.
