For account managers

How to keep track of several clients' work at once, sign in and out of their accounts, and handle whatever's waiting for you.

This is how you keep track of the clients assigned to you at once, and how you sign in to one of their accounts when you need to go there.

Who can ask what?

Apex only does what the person asking is authorised to do. Which companies you see is decided by your group.

Click your own role, and only the example prompts you can ask Apex for stay on the page. The filter only rearranges this page; it changes nothing in your account or your permissions.

Several requests at once

You can link the portfolio overview to the next step in a single sentence, Apex works through it all in order.

What happens
Apex fetches the status of the companies assigned to you, and also puts them in order: items with a change requested first, then missing or inactive approvers. Whether there's a campaign ready to launch, it checks at a named company.

The answer comes in the chat, and the same thing shows with live indicators under the Portfolio item in the user menu too.

What happens
Once you've entered the company's account in the Customer view, Apex checks their approval status, and if there really is no approver assigned, it puts out a card to set one. Once approved, Anna Clarke becomes the company's approver.

Apex names from the portfolio overview which company has a decision waiting, then checks Sample Ltd for the items waiting on a decision and whether there's a campaign ready to launch.

Apex only checks the campaigns at the named company, it doesn't go through the whole portfolio one by one.

The same handover tool runs as anywhere else: Apex asks for approval on a card, then moves the open tasks over, with a summary message to George Hughes.

Portfolio overview

Apex tells you at a glance which client needs your attention, and what's worth checking first.

Which of my clients needs something from me right now?
What happens
Apex goes through the companies assigned to you, and puts first where there's genuinely something to do: an item with a change requested, or a missing or inactive approver. It looks for a campaign ready to launch at a named company.
Where it shows
The answer arrives in the chat, and the same thing shows with live indicators under the Portfolio item in the user menu too.

What happens
A company only appears for you if it belongs to your partner group. Another partner's clients and Trendizz's direct customers don't get included. Trendizz staff can see every company.

If you think a company should be assigned to you, that's a question of allocation; Trendizz can change this in the Company manager (user menu).

What happens
Apex opens the selected company: it sets out the items waiting on a decision by name and type, then the campaigns, saying whether they're running, ready to launch, or what's holding them up.

Apex only looks at the named company in detail, it doesn't go through the whole portfolio one by one.

What happens
If everything is approved, there's an approved letter sequence and a working sender (the mailbox that actually sends the letter) in the campaign's language, Apex says the campaign is ready to launch; it leaves the launch itself to a human decision.

If it's not ready, Apex names what's missing: approval, a working sender, a signature, an approver, or that the first subscription payment hasn't come in yet.

Signing in to a client's account

Apex tells you where to switch companies, what changes once you're in, and how to get back to your own.

What happens
Apex shows you where to switch: at the top of the left-hand rail, on the 'Customer view' row, you can search by name or domain, and switch to the company with the Sign in button. Only you can sign in, Apex doesn't do this for you.

The system logs every sign-in.

The left-hand rail becomes entirely their company: their data, their conversation with Apex, their Excluded domains tab. The user menu at the bottom stays yours.

There's an exit row at the bottom of the switcher panel, but any of your own menu items also take you out of there: opening account settings or the language first takes you back to your own company, and the page opens there.

Logging out is different from this: it closes your whole session.

Yes. Whatever the account manager role allows, you can ask Apex for it in the company's account too.

What you can do there, and what you can't

You can reach a lot inside the client's account, but the decision always stays where it belongs.

What happens
Whatever you prepare in their company's account, a letter or a signature, always goes to them for approval; Apex automatically approves their own content, never yours. There's no way around it.

In the chat, and the card also on the Account manager place.

If they request a change, it comes back to you, and you need to respond before it moves on. The exception is a company where Trendizz has switched off the approval process: there the content goes ahead without approval.

If you have the right at that company, yes: you can upload the completed company profile template, Apex checks it and fits it in. If you don't have that right, Apex says who the company's editor is, and doesn't upload the file.

Yes, the Excluded domains tab shows for you too, when you sign in to a client's account.

The approval always stays with their designated approver, you can't decide on their behalf. You can only change the company memory if you have administrator or company lead rights at that particular company, too.

Onboarding a new client

The company profile, designating the approver and inviting colleagues all start here.

What happens
Apex gives you the Trendizz company profile template as a download card, in Hungarian or English, and in the English version for any other language. The company fills it in, or you do based on their material, and you then need to upload the completed file.

In detail: How the first month begins
What happens
Apex checks the uploaded file, fits it into the company's memory, and this closes off the company's onboarding, you don't need to flag separately that it's done. If it finds something wrong, it names exactly what to fix.

This needs administrator or company lead rights at that particular company, or Trendizz system administrator rights.

Apex puts out a card to set it; once approved, Anna Clarke becomes the company's approver, and from now on every submitted item waits on her decision.

If the name fits more than one person, Apex asks who you meant.

A new colleague can be invited on the company's Team management page, with the Invite button. Their company lead and administrators can do this; you can do it in the Customer view only if you have such rights at that company too.

The Company manager page doesn't let you add a user, it only shows the existing ones.

What's waiting at which client

Apex names whose responsibility an item is, and where there's no one who can decide.

What happens
Apex names the company that has an item with a change requested. It names the item itself when you ask for that company's details.

If you've only just put it out for approval, it doesn't appear as a change request yet.

Apex names which company has no one assigned, or where the assigned account is banned; nothing can be decided there until someone becomes the approver.

Apex doesn't send a reminder on your behalf. At the named company, it tells you how long the oldest item has been waiting, and you need to make contact yourself.

The form of contact, phone or letter, is always up to you.

The company's own designated approver always decides, at their own Account manager place; you only prepare and submit it there, you can't take the decision over from them.

Handover and assignment

What happens when someone else takes over their work, and who can assign a company to another partner.

What happens
The same handover tool runs as anywhere else: Apex asks for approval on a card, then moves the open tasks over, with a summary message to George Hughes.

The decision is always yours

Wherever approval is needed, Apex shows the card, and only carries it out after you click.

It only works from what it has

Apex tells you what's on the record and in the correspondence. If there's no data on something, it says so.

Another team's company

If another team within your company is working with a company, Apex flags it as taken, and doesn't say who's handling it.

In your own words

You can write to Apex in your own words. The example prompts work verbatim too, but it understands your own phrasing just as well.
