A marketer works for my company

You sign in first and choose a plan. After that, the company buys a plan for the marketer too, which gives them their own account in the company's account. The letters go out from the company's mailbox, in the salesperson's name, and the company's salesperson handles the replies. When you stop working with the marketer, you close their account by it, and hands over their work. For the team setup, first read the guide that fits: On my own, With a team or A separate team per country. This guide shows what changes when a marketer also works in the account.

This is for you if…
  • an outside marketer or agency builds your campaigns;
  • the marketer would work with Apex on your company's behalf;
  • you want your own salesperson to handle the replies.
What will be ready at the end

The marketer has their own account with the right role and plan. The campaigns go out from the company's mailbox, and the mailbox's is the company's salesperson, so they get the tasks from the replies. Replacing the marketer takes one and one handover.

Six steps

Each step comes with the sentence you can copy into Apex, and what Apex does with it.

  1. You sign in first and choose a plan

You sign in first with your company email address, on Apex Free, and become the company's . Colleagues, marketers included, can only be invited on a paid plan, and as long as there is more than one active member, nobody can be on Free. So you choose a plan for yourself first.

An outside marketer handles our marketing, and two of our salespeople handle the replies. Which plan do we need?

  2. A plan and an account for the marketer

The company buys a plan for the marketer, which gives them their own account, with their own company email address; this can also be on the of the marketer's own company. Everyone has their own plan: the marketer's plan can even be larger than the managing director's (for example, you are on Start and they are on Pro) if they work with Apex more. Payment comes first, then the invitation goes out.

Invite Mark, he handles our marketing. He needs the Pro plan, and his address is [email protected].

Above the approval button you can see the plan and the amount to pay.

  3. The role and group for the job

If the marketer only builds campaigns, they should be a User, in the same as the salespeople; at a small company, that is the . They then see the group's campaigns, mailboxes and letters, and the salespeople's tasks and companies too. If they build the whole setup (groups, moving mailboxes), they should be an Administrator: they then see the work of every group. Your conversations and saved reports are personal; only you see them.

    Ask ApexApex tells you

Should Mark be an Administrator, or is the User role enough? What will he see of our company then?

  4. Letters go out from the company's mailbox, in the salesperson's name

Campaign letters go out from a mailbox, which the interface calls a . We recommend a new mailbox used only for campaign mail, on the company's own domain: the letter is sent by the company. The address is made from the name of the salesperson who handles the replies, for example [email protected], rather than a such as sales@ or info@, and the signature carries that name too. It should be a full, separate mailbox, not an alias of another one: mail providers see aliases as a single account, so several aliases all weigh on the reputation of one mailbox. Two salespeople need two mailboxes, each in their own name. Apex reads and sorts every incoming letter in the connected mailbox, using the 's . The company creates and connects the mailbox, or the marketer connects the one the company provides. After , one mailbox sends around 50 campaign letters per working day; for a faster pace you can connect more mailboxes, each one a separate, full mailbox.

What kind of mailbox should we set up for the campaigns?

  5. The salesperson owns the mailbox

When a company you contacted replies, Apex turns the reply into a task for the mailbox owner. If the company is interested, that person also becomes the company's owner. If a company already has an owner because someone assigned one, the task goes to them. That is why the mailbox owner should be the salesperson: they get the tasks from the replies, and the marketer can focus on the campaigns. If someone else answers a mailbox's letters, tell Apex and it will change the owner.

Make Ben the owner of the [email protected] mailbox, he handles the replies.

  6. When you stop working together

Replacing the marketer means them. If they own a mailbox, it needs a new owner. After the deactivation, Apex offers to hand over their tasks and companies with a second . The campaigns keep running in their group. Their Apex conversations are personal and stay with them, and only they can download their exports. If they knew the password of any mailbox, change it.

Where: Account menu › Team management › the member › Status › Deactivate member
Ask ApexApex sets it up, with your approval

We've finished working with Mark. Deactivate him and hand his tasks over to Ben.

You allow the deactivation and the handover with one approval button each.

What it costs

An example of the monthly fee. Plans are personal, per month, plus VAT.

Four people: you on Start, the marketer on Pro, two salespeople on Start: 3 × €99 + €249 per month, plus VAT.

You need a paid plan because you invite the others, and so does everyone who works in the account. A mailbox sends campaign letters when its paid plan is active; here, that is the salesperson.

Frequently asked questions

What most people ask in this situation.

Two salespeople, one mailbox: how are the replies shared out?

The mailbox gets the tasks from the replies. With Apex, you can divide the companies between the two salespeople: if a company has an owner, that person gets the tasks from its replies, whichever mailbox the letter arrives in.

Do I need a separate CRM?

No. Trendizz has what you need for sales: each company's record holds every letter, call and task, and the company's owner. Prospects who come in by phone or another way can be handled here too: tell , and it opens the company's record by its (even if the company is not yet in our database), logs the call, and sets the owner and the task.

We'd like to see the prospects in our Pipedrive.

You can manage the customer relationship in Trendizz too: each company's record shows every letter, task and reply in one place, and Apex works from it. If your team stays in Pipedrive, that works too: the positive responders can move across with an integration tool (for example Zapier or Make), without a developer. A deal won in the CRM does not come back to Trendizz. The details are in the "Alongside your own CRM" guide.

What can the marketer do in each role?

A marketer with the role sees every and can deactivate Users. A marketer with the User role, in the salespeople's group, sees their replies and tasks. Only a Superuser manages plans, the bank card and roles.

Pitfalls

What most people run into, and how to avoid it.

A sign-in belongs to one person

The marketer works with their own account and may never use the managing director's sign-in; the General Terms and Conditions say so too.

The Administrator sees everything

If the marketer only builds campaigns, the role is enough, and they then see only their own 's work.

Someone from the company should create the API key

The key is tied to whoever created it; if the marketer creates it, the CRM sync stops when they are .
