Subscription and allowance
The same Apex works in every plan. The plans differ in how much Apex works, and in whether campaign sending and inviting colleagues are included. Apex tells you how much allowance is left and which plan suits your work; the plan, the card and extra usage are managed by the company's Superuser on the My subscription page.
One question about the allowance and one plan suggestion. Apex answers from the measured figures; the switch happens on the My subscription page.
Several requests at once
You can ask about the allowance and the plan in one sentence. Apex answers from the measured figures and tells you where to take care of what you ask for.
- What happens
- Apex tells you where the weekly and the 5-hour allowance stand, then makes a suggestion from your measured figures: stay on the current plan, or a bigger one would suit you better. It tells you which figure it bases this on.
- Where it shows
- In the chat. You make the switch on the My subscription page.
- What happens
- Apex tells you this month's extra usage and the monthly cap, then tells you that you can change the cap on the My subscription page, in the Extra usage section.
- Where it shows
- In the chat, then on the My subscription page.
The plans
Apex Free, Apex Start, Apex Pro, Pro 2× and Pro 4×. The same Apex works in each of them; the size of the allowance differs. Campaign sending and colleagues are included in the paid plans.
- What happens
- Apex tells you your plan's name, its monthly fee and the date of the next charge. It explains the difference by the size of the allowance: Apex Start works with 40% of the Pro allowance, Pro 2× with twice and Pro 4× with four times the Pro allowance.
- Where it shows
- In the chat. You can also see the plans on the Subscription tab of the My subscription page.
- What happens
- Apex tells you: Apex Free is free, does not expire and can be used without a card. In the first week it starts with an introductory allowance, after which it works with a smaller, slower allowance. Campaign sending and colleagues are included in the paid plans.
- Where it shows
- In the chat.
What you found on Free, and what you told Apex about your company, stays when you switch to a paid plan.
- What happens
- Apex makes a suggestion from your measured figures. If the allowance often runs out, or extra usage comes close to the price difference to the next plan, it suggests the bigger one; if much of the weekly allowance is left over, the smaller one. It tells you which figure it bases this on; the decision is yours.
- Where it shows
- In the chat.
Apex's allowance
All of Apex's work comes out of the allowance: conversation, search, checking, letter writing and the background work of the mailboxes. There are two allowances: the 5-hour and the weekly.
- What happens
- Apex tells you what percentage of the 5-hour and the weekly allowance is left, and when they refill. The 5-hour allowance refills five hours after the first piece of work; the weekly one refills every week on the same day and at the same hour.
- Where it shows
- In the chat. Per person, also on the Usage tab of My subscription.
- What happens
- Apex tells you which allowance ran out and when it refills, and what the weekly allowance went on: conversation, search, checking, campaigns or background work. Interrupted work keeps what it had found so far, and after the refill it can be resumed with the Continue button.
- Where it shows
- In the chat. While Apex waits for the refill, the message box is greyed out and shows when Apex will reply again.
- What happens
- If the responsible person for the mailbox has run out of weekly allowance and the company has no extra usage, receiving and sending letters is paused until the refill: no downloading, sorting or sending. Nothing is lost: after the refill, Apex first downloads and sorts the letters, then continues sending.
- Where it shows
- In the chat.
Extra usage and monthly cap
On a paid plan, when the allowance runs out, Apex can keep working, and the company pays for the usage afterwards, up to the monthly cap. One setting for the whole company.
- What happens
- Apex tells you whether extra usage is turned on, how much of it has been used this month, and what the monthly cap is.
- Where it shows
- In the chat. Also on the My subscription page, in the Extra usage section.
- What happens
- You change the subscription yourself; Apex tells you where: on the My subscription page with the “Continue when the allowance runs out” switch, and in the Monthly cap field in the same place. It can be turned on once the company has at least one paid subscription invoice.
- Where it shows
- On the Subscription tab of the My subscription page, in the Extra usage section.
Extra usage is turned on by the company's Superuser. Apex sends a notification at 50, 80 and 100% of the cap.
- What happens
- At the cap, extra usage stops and Apex continues when the allowance refills. The cap applies to a calendar month and can be changed at any time. If a charge fails, extra usage is paused until it is settled; the allowance keeps working in the meantime.
- Where it shows
- In the chat.
Changing plans
Plans are changed by the company's Superuser on the My subscription page. Apex tells you where, and what happens.
- What happens
- Apex tells you: the switch is on the Subscription tab of the My subscription page. A bigger plan takes effect immediately, a new month starts that day and the weekly allowance starts full as well; the rest of the month already started is not refunded. A smaller plan takes effect at the end of your month, until then the current allowance stays, and you can cancel the switch until then.
- Where it shows
- On the Subscription tab of the My subscription page, in the Plans section.
If you are not the company's Superuser, Apex tells you who can change the plan.
- What happens
- Apex tells you the date and the net amount of the next charge.
- Where it shows
- In the chat. Also at the top of the My subscription page, in the Your plan section.
- What happens
- Apex shows the company's Superuser who has which plan, the team's monthly total, and who is next to be charged. Everyone has their own subscription and their own month, starting from the day they joined.
- Where it shows
- On the Subscription tab of the My subscription page, in the Team plans section.
Colleagues and plans
Colleagues can be invited with a paid plan. Everyone works with their own subscription; the company pays with one card.
- What happens
- Apex tells you: the company's Superuser invites the colleague on the Team management page, with a paid plan (Apex Start, Pro, Pro 2× or Pro 4×). We charge the fee to the company's card, and the invitation goes out after the payment succeeds.
- Where it shows
- On the Team management page.
- What happens
- Apex tells you: the company's Superuser deactivates the departing colleague in Team management, as of today or as of the renewal date. After that we do not charge for her, her data and work stay, and she can be reactivated later. The fee already paid is not refunded, and the subscription cannot be transferred to another colleague.
- Where it shows
- On the Team management page.
If Anna is the responsible person for a sender, someone has to be chosen to take over her senders when she is deactivated.
- What happens
- Apex tells you who the company's Superuser is: they set the colleagues' plans, from the company's card. As a colleague, you see your own plan, allowance and invoices.
- Where it shows
- In the chat.
Payment and invoices
By card, through Stripe, in advance: monthly, every 3 months or yearly. Only Stripe sees the card details.
- What happens
- Apex tells you that you change the card on the My subscription page, in the Payment and billing section, with the Change button: this opens Stripe's secure page.
- Where it shows
- On the My subscription page, in the Payment and billing section.
- What happens
- Apex tells you that the invoices are on the Invoices tab of My subscription, can be downloaded as PDF and also arrive by email. An invoice is issued after every successful charge.
- Where it shows
- On the Invoices tab of the My subscription page.
- What happens
- Apex tells you that you change the billing details (company name, tax number, address) on the My subscription page, in the Billing details section, with the Edit button. These are what appear on your invoices.
- Where it shows
- On the My subscription page, in the Payment and billing section.
- What happens
- Apex tells you which charge failed and until when it can be settled. Until the deadline everything works as before; you settle the payment in the bar that appears at the top of My subscription, with the Manage payment method or the Try again button.
- Where it shows
- At the top of the My subscription page.
Plans can be changed once the payment is settled.
Cancelling
No minimum term: the plan can be cancelled monthly, and your data stays.
- What happens
- Apex tells you that cancelling is on the My subscription page, with two options: at the end of your month (until then you use everything as before, then Apex Free) or now (you switch to Apex Free today). In neither case is the fee already paid refunded. The account and the data stay.
- Where it shows
- On the Subscription tab of the My subscription page, with the Cancel plan button.
- What happens
- Yes. A cancellation set for the end of the month can be undone until it takes effect with the Keep my subscription button, and your plan carries on without interruption.
- Where it shows
- On the Subscription tab of the My subscription page.
- What happens
- While colleagues work in the company, everyone needs a paid plan, so your own subscription cannot be cancelled right now. First deactivate the colleagues in Team management; once you are on your own, you can cancel yours too.
- Where it shows
- On the My subscription page, then in Team management.
Good to know
The decision is always yours
Wherever approval is needed, Apex shows the card, and only carries it out after you click.
It only works from what it has
Apex tells you what's on the record and in the correspondence. If there's no data on something, it says so.
Another team's company
If another team within your company is working with a company, Apex flags it as taken, and doesn't say who's handling it.
In your own words
You can write to Apex in your own words. The example prompts work verbatim too, but it understands your own phrasing just as well.
